FFF Recreational Football REPS' HANDBOOK

Firstly, thanks for being a session rep. We really appreciate it.

Our sessions rely upon the session reps to ensure they run smoothly. Are the gates open, is the pitch playable, have we got the kit we need? How many people are coming, what team sizes shall we go for, are the teams an even standard? The responsibilities aren't excessive, but reps need to be organised and decisive!  The handbook below is there to help you organise the sessions and to make your life easier. You are the point of contact for your session on the night, along with the other reps for that session. Usually we have 2 or 3 reps per sessions so that there's cover every week and the workload is shared. For any questions about subscriptions or admin please direct them to FFF Support, but on the night you're the face of FFF. 


We ask that reps arrive in plenty of time to prepare for the session and to check the kit and equipment. 10-15 minutes before the session starts is usually enough.

There are a wide variety of commercial football operators around, many of whom use poor quality and badly maintained equipment. FFF was founded on the basis that we would always use top quality equipment in good condition. It's the least people should expect and we spend a lot of money on quality equipment. If anything is broken or damaged, let us know and we'll make sure it is stocked and replaced.

At an FFF session everyone who turns up plays a game, no subs, no selection, we all play. Before the session reps should monitor the Heja group, chase people up who haven't responded, and then decide on the number of games and teams sizes, bearing in mind a few people always fail to use Heja properly. Preparing early helps the session get going quickly, nobody likes standing around especially when it's cold.

If you've ever experienced it, one the most unpleasant things in sport is to wear a bib that is bathed in the sweat of the previous player or one that smells of the previous player's armpits. All used bibs should be washed straight after the session, every time and ideally tumble dried. If you could use a bit of fabric conditioner to add a pleasant fragrance for our players, that would be excellent.

When you reach a certain age sport is about participation, enjoyment, and being a part of something. Winning at all costs is less important. We want all players to enjoy our sessions. Believe or not lots of new players are nervous about their first session, so we want to create a welcoming and comfortable environment. Simple things, shake hand, introduce yourself, buddy them up with someone, make them feel special.

If there is anything at all wrong with the venues we use then let us know. Whether it's the floodlights, the nets, the surface, the changing rooms, let us know. We pay significant sums to the venues for pitch hire so we need to point out when something isn't right. If there's something dangerous then please raise it with the venue immediately, with the emergency contact or with FFF. If there is something obvious the prevents play then don't risk it, don't play.

Heja is our attendance app. Every session has it's own Heja group and that's the reps' bible for player attendance. Using the app on the day of the session you can prompt players to indicate their attendance and you can also remind through the relevant WhatsApp group. If there are repeat non-responders we need to reinforce how important it is to respond so we organise teams efficiently.

With a proper warm up and some stretches typical football injuries are avoidable. Serious injuries are rare, and we don't have an excessive number of injuries in general. There will however definitely be occasions where we are called upon to help players with injuries. All kit bags have a basic first aid kit that will help with a cut above the eye or a sling, but for more serious injuries the player should be taken to hospital or an ambulance called. There's more information on first aid below.

As a rep you are in a unique situation to see and hear what players think. If there's anything that you're hearing that would be useful feedback then let us know. Equally if there's something you're thinking about, let us know. FFF is community of like-minded people and that collective brain often has some great ideas.

We regularly welcome new players to each of our sessions. Often players can be nervous about joining a new session so we ask that our reps look out for them and put them at ease, explaining some of the basic rules of the road. Even though we send out extensive instructions players often don't read them and turn up late so look out for players hovering by the side of the pitch. Take them under your wing if you can.

Free football for the session you rep

For the time that you're a rep for a session, that session will be free of charge to you. 

FFF branded kit

Every new rep gets two items from our range free of charge, including free shipping. Items can be ordered direct from The Sports District using discount codes. Existing reps can order one additional item every year. In addition if a garment is broken, damaged, or worn out then replacement can be ordered. Everyone gets an FFF bobble hat if they want one.

Events and socials

Our reps are always given first refusal on events and socials that we run. For 11 a side games or tournaments reps only pay a heavily discounted entry fee.

First aid training

While all our players play at their own risk there will be occasions when they need basic first aid assistance, a bit of hot or cold spray, a plaster on a cut, or a bandage on a wrist. For more serious injuries if the player is mobile then we ask that a fellow player or second or third rep drives them home or to the nearest hospital. For very serious injuries, which are thankfully rare, an immediate call to 999 is the best course of action.


We will conduct regular first aid training for our reps which we ask that everyone participates in so that we can react in an emergency e.g. cardiac arrest. With basic first aid training, a defibrillator, and our emergency action plan (EAP) we can deal with cardiac arrest quickly.

Expenses

All reps are defined as volunteers and as a result can be paid basic out of pocket expenses for washing and drying bibs without any tax implication. Each session has a budget of £500 per year which is shared between the reps and is paid by standing order monthly. As an example if a session has two reps they will each be paid £20.83 per month on the first of the month to cover the washing and storage expenses.

Running an FFF session isn't complicated but you need to be organised; is the kit ready, are the balls pumped, is the first aid kit stocked, have I reviewed Heja, how long does it take to get there, where will I park?

Again, running a session isn;t complicated but you need the confidence to make quick decision to get the session running. You also need the confidence to diffuse situations periodically and to be assertive with venues if things aren't as they need to be.

In spite of FFF players being grown adults you'd be surprised how many need very specific instructions. You need to communicate efficiently and clearly with people. You will also need to welcome new players to sessions and help them settle in.

Without stating the bleeding' obvious, the bibs need washing every week, and ideally tumble drying. Your spouse or partner will moan at you if they're hanging all around the house or taking up precious drying space.

Less a skill, more a condition really. A heavy kit bag, and half a dozen balls are difficult to carry on a push bike. You'll need a car or other suitable vehicle, unless you live directly adjacent to or at least very close to the venue.

If you regularly travel for work or only come once a month that's not enough to be a rep. We all have occasions when we can't attend but reps need to be available for 90% of the sessions i.e. 40+ sessions a year.

Players pay for our sessions so don't want to be kept hanging about. Turn up around 15 minutes before the session to organise teams, bibs and to ensure the venue is ready i.e. are the floodlights on?

Again, players pay for our sessions so treat them as customers. if they have a problem try to resolve it amicably. During the games, encourage players as much as possible, ensure people are taking their fair share of time in goal, ask the excessively over competitive to keep it calm. Always pull people up on poor behaviour or consistent foul play.

As a session rep wearing FFF kit you are an extension of the brand. The FFF brand stands for inclusivity, well being, enjoyment, health and safety and community spirit. We want people to go home having enjoyed their exercise, injury free, and desperate to come again or even to join another session.

It may seem simple, but there's a knack to getting things going and ensuring the teams are evenly matched. First step is to review the numbers on Heja. If you have 22 or fewer players, then go for a single game. If you have 22-36 then go for two games. If you have more than 36 then three pitches might be appropriate. At our largest venues we can accommodate four quarters of 7v7, but those numbers are rare.

Before players arrive lay out your sets of bibs according to the team sizes you have selected e.g. you might have 8v8 on one pitch and 9v9 on another. When you hand out the bibs always start with the larger teams. You can get more people going more quickly and when the folks that can't use Heja turn up you can accommodate them in the smaller teams. Ensure that similar colours are separated and it's even worth checking if there are any colour blind players, red and green are often a tricky mix. Don't be inclined to have bibs and non-bibs teams, the non-bibs will just get confused.

Nobody likes hanging about so try and get the bibs handed out before the session starts. Make sure that the bibs for one pitch are handed out together and those two teams can get going immediately. Hand out the bibs in pairs, one from each team, to players that are similar i.e. one red bib to a defender, one blue bib to a defender, one red bib to an attacker, one blue bib to an attacker and so on. It's not an exact science but try and get the team roughly even. Tell the first pair of team which pitch to go to and how to set up if the goals aren't in place.

There will always be latecomers, new starters, bad parkers, and slow coaches. As a rep it is best if you start the first game on the furthest pitch away from the entrance so that they're out of the way, and underway. The second game should be nearer to the entrance gate so that anyone arriving can be quickly accommodated. It is also best for the rep to play on the pitch nearest the entrance and to be on the lookout for any latecomers. If there's only one game taking place then the rep should try and play near the entrance for the first five minutes and keep a watch for latecomers and new starters.

There's nothing worse than heading a rock hard ball or trying to kick a soft one. Please check that your balls are pumped before each session. If any are damaged then please collect new ones or ask for new ones to be brought to your session. Optimum pressure varies but in the region of 10-12psi should do it. If you use one of our yellow pumps they have a pressure gauge on them. You'll know what feels right.


Each pitch will need two or three balls per pitch to keep the game flowing, especially if one or even two are being retrieved from over the fence!

Nobody likes a stinky bib. Please wash your bibs after every session, as soon as possible so that sweaty smells don't linger. The immediate washing isn't so much of an issue in winter when people are wearing several layers under their bibs but in the summer some people wear only the bib. A low temperature wash is usually enough. Ideally you should tumble dry them to (a) dry them quickly so they don't smell musty and (b) get them out of the way, nobody wants them taking up all the drying space.

Our first aid kits are quite basic but they generally do the job. Please check that your first aid kit has all the basic requirements i.e. bandages, slings, scissors, plasters, heat spray, freeze spray, ice packs and so on. Also periodically check the expiry dates on the first aid items, some will expire and need to be replaced.

If any of the other items in your kit bags, or the bags themselves, are broken, damaged or don't do the job, then please collect a new one from the kit store or ask for new items to be delivered to you. While we try to look after the kit and make it last as long as possible all items are essentially consumables and will wear out eventually, especially if used several times a week.

  • A first aid kit with Pro FA contents
  • Pump valves, usually kept at the bottom of the first aid kit
  • A net bag for collecting the bibs at the end of a session

  • An LED torch to use when the floodlights go out

After a new player has had their taster session, provided they gave us all their relevant contact information before they attended, they will receive an invoice in the days following their taster. Using the secure link they can add their card details and their subscription will start.

FIRST AID TRAINING

We ask that all FFF reps complete basic first aid training. Not only is this helpful for the sessions but helpful for life in general, you never know when you may be called upon. We have opted to do the FA's Introduction to First Aid in Football, an online course. The course costs £30 and takes 90 minutes to complete.
